Office Manager – Full-time, Onsite Position

Whitten Architects has an immediate opening for a methodical, proactive, and curious Office Manager to join our onsite team in Portland.

Whitten Architects designs homes that celebrate the connection between nature and the human spirit. As we enter our 40th year of practice, our award-winning studio of 15 is looking for a professional who will serve as the heart of our daily operations. The Office Manager facilitates the day-to-day functions that enable our design studio to fulfill its mission, fostering a welcoming and creative environment for studio members, clients, and guests.

The Role:

In this role, you will act as a vital liaison for our financial, marketing, and HR functions. We are looking for someone who brings organization and curiosity to everything they do whether they are coordinating a biweekly billing cycle, facilitating a project photo shoot, or welcoming a new team member. You will approach all duties with poise, proactive care, and a commitment to maintaining our methodical business operations.

Specific Responsibilities:

- Project & Data Management: Tracking projects and maintaining project management software.

- Administrative Support: Drafting letters of agreement, maintaining the office calendar, scheduling, and taking meeting minutes.

- Financial Operations: Managing the biweekly billing cycle, generating client invoices, maintaining accounts payable, and making bank deposits.

- Events & Marketing: Making arrangements for meetings and company events, facilitating photo shoots, updating the website, and assisting outside marketing consultants with social media, blog posts, and ad selections.

- Human Resources (HR): Coordinating with our HR consultant, performing HR functions such as placing recruitment ads, onboarding new employees, and working with our consultant bookkeeper to administer employee payroll and benefits. Qualifications: The ideal candidate pairs technical fluency with exceptional interpersonal and organizational skills. Requirements include:

- Experience as an office manager or administrative assistant (experience in a design or construction setting is a plus).

- Technical proficiency in Google Workspace and Microsoft Excel.

- Excellent communication and interpersonal relationship skills with a meticulous attention to detail.

- A professional demeanor and the ability to manage a studio environment with poise.
